AI Customer Support Assistant

An example assistant that answers customer questions from your own knowledge sources, drafts replies and routes anything sensitive to a human.

This is an example support system Genyra can design and build for a business that wants faster, more consistent responses without removing people from the loop. The assistant is grounded in your own approved sources - help articles, product documentation, policies and past resolved tickets - so its answers reflect what your team has already published rather than open-ended guesswork. It can sit behind a chat widget, an email inbox or an internal agent console, and every answer is traceable back to the source passage it drew from.

Crucially, the assistant is built as decision-support rather than an unattended replacement for your team. Routine, low-risk questions can be answered or drafted automatically, while anything involving billing disputes, account changes, complaints or unclear intent is flagged for human review before it reaches the customer. Agents keep full control: they can edit, approve or discard any suggestion, and the system records who approved what. This is a blueprint we tailor to your channels and tone - not an off-the-shelf product with existing customers.

How a question becomes a grounded answer

When a customer asks something, the assistant first retrieves the most relevant passages from your approved sources - help articles, product docs, policies and resolved tickets - and then composes an answer constrained to that retrieved material. Because the response is tied to specific passages, each reply can carry a citation back to the article or document it drew from, so an agent can confirm the answer is correct rather than trusting it blindly. If the assistant cannot find supporting material, it is designed to say so and hand over rather than invent a plausible-sounding answer.

Every reply also carries a confidence signal that drives what happens next. High-confidence answers on topics you have cleared for automation can be sent or queued as drafts; anything below your threshold, or touching a sensitive topic, is routed to a human with a short handover summary. You set those thresholds and topic rules during onboarding, and we revisit them as real conversations show where the assistant is reliable and where it needs a person.

What we tailor to your channels and tone

No two support operations sound alike, so we shape the assistant around your voice, your channels and your escalation reality rather than a generic template. We tune the tone of replies to match your brand, decide which channels it serves first, and map your existing queues so a handover lands with the right team instead of a generic inbox. The aim is that customers experience a consistent, on-brand response layer and agents experience a tool that fits how they already work.

We also tailor the boundaries: which topics must always reach a person, which knowledge sources are authoritative, and how the assistant should behave when sources conflict or are out of date. These choices are explicit and documented, so the behaviour is predictable and reviewable rather than a black box. As your products and policies change, the same configuration can be updated without rebuilding the system.

  • Tone and phrasing aligned to your brand voice
  • Channel priority - chat, email or internal console first
  • Topic rules for what must always escalate to a human
  • Confidence thresholds for what may be drafted or auto-sent
  • Routing maps so handovers reach the correct queue

Where a human stays in control

The assistant is deliberately built so that people remain accountable for what customers receive. Agents can edit, approve or discard any suggestion, and by default nothing consequential is sent without that review; the system records who approved each reply so there is a clear trail. This matters because support touches billing, accounts and complaints, where a wrong automated answer can cause real harm - so those paths stay with a person.

This is also why we are explicit about limitations. The assistant is decision-support, not an authority, and it will not always be right; grounding and citations reduce errors but do not eliminate them. We design the pilot so accuracy and tone are checked before automation is widened, and so the safe default - escalate when unsure - is built in rather than bolted on afterwards.

Composable systems

Blueprints, tailored to you.

Each solution combines the same dependable building blocks - a core intelligence, your data and integrations, and human oversight.

We shape them around how your team actually works rather than forcing a generic, off-the-shelf product onto your situation.

What it does

01

Grounded answers

Responds using only your approved knowledge sources, with citations back to the original article or document so answers can be checked.

02

Draft-and-approve replies

Suggests replies inside your inbox or agent console that a human can edit and approve, rather than sending unattended messages by default.

03

Smart routing & escalation

Detects sensitive or low-confidence cases and routes them to the right human queue, with a clear handover summary.

04

Coverage insights

Surfaces common unanswered questions and gaps in your documentation so your team can improve the knowledge base over time.

How we work

A clear, accountable process

  1. 01

    Source & scope

We agree which knowledge sources are in scope, which topics must always escalate, and the tone of voice for replies.

  2. 02

    Grounding & guardrails

We connect approved content, add confidence thresholds and define the rules for when the assistant must defer to a human.

  3. 03

    Human-in-the-loop pilot

Agents review suggested replies in a controlled pilot so accuracy and tone can be checked before any automation is widened.

  4. 04

    Refine & monitor

We tune routing, expand coverage where it is safe, and provide dashboards so you can monitor quality continuously.

What you receive

  • A consistent first-response layer that reflects your own published guidance.
  • Less time spent re-typing answers to repetitive questions.
  • Clear escalation paths so sensitive issues always reach a person.
  • Visibility into recurring questions and documentation gaps.

Compliance boundary

  • Delivered strictly within Genyra’s licensed activities: AI software design, AI research and consultancy, and AI developing. We build the assistant; we do not act as your customer-service provider.
  • The assistant is decision-support with human-in-the-loop oversight. Sensitive cases are routed to people, and answers are grounded in your own approved sources rather than presented as authoritative advice.
  • This is an illustrative blueprint we tailor to each client, not a finished product with existing customers or guaranteed outcomes.

FAQ

Frequently asked questions

Will it reply to customers without anyone checking?

By default it drafts replies for a human to approve, and you decide which low-risk topics - if any - may be answered automatically. Sensitive cases always escalate to a person.

Where does it get its answers from?

Only from the knowledge sources you approve, such as help articles, documentation and resolved tickets. Answers include citations so they can be verified, and if no supporting source is found the assistant defers to a human rather than guessing.

How does it adapt to our products and tone?

We ground it in your own content and tune the phrasing to match your brand voice, so it sounds like your team rather than a generic bot. As your products, policies and tickets evolve, the same configuration is updated, so the assistant keeps reflecting what you have actually published.

What happens when it is unsure or hits an edge case?

Each reply carries a confidence signal, and anything below your threshold - or on a sensitive topic such as billing or complaints - is routed to a person with a short handover summary. The safe default is to escalate rather than send a doubtful answer automatically.

How does a pilot or rollout work?

We start with agents reviewing every suggested reply in a controlled pilot so accuracy and tone can be checked on real conversations. Only once you are confident do we widen any automation, topic by topic, with you setting the pace.

How do you approach cost?

Cost depends on the channels, the number of sources to ground against and how much review tooling you need, so we scope it to your situation rather than quoting a fixed product price. We can start with a focused pilot to prove value before any wider investment.

When is this not the right fit?

If your enquiries are almost entirely complex, sensitive or one-off, the assistant has little safe ground to automate and may add overhead without much benefit. It is also a poor fit if you have no documented sources to ground it in, since reliable answers depend on approved content existing first.
